Setting Up an Etsy Print-on-Demand Shop: The Stack, Printify vs Printful vs Gelato, and Production-Partner Disclosure

Before your first listing goes live, five accounts need to be wired together, one policy disclosure needs to be in place, and your shop policies need to match what POD actually delivers. This spoke covers the full stack — tools, connections, disclosure, policies, and the tax baseline — so you open on solid ground instead of fixing compliance gaps after you have reviews.

Build the account stack before you list anything

A US POD seller launching on Etsy needs five functional layers in place before the first listing publishes: storefront, production, design, marketing, and finance. Most of these are free to create. The costs come from the Etsy setup fee and optional premium tiers that you should not pay for until you have validated orders.

Etsy seller account

Go to etsy.com, click "Sell on Etsy," and open your shop. You will choose your shop language, country, and currency, then your shop name — 4 to 20 characters, no spaces, no punctuation, alphanumeric only. Once a shop name has been used on Etsy, even by a closed shop, it cannot be reused. Choose carefully.

To activate the shop you must add at least one listing. You can edit or delete it after opening. Then connect a US bank account via Etsy Payments — this is mandatory for US sellers and enables credit cards, debit cards, Apple Pay, Google Pay, and Etsy gift cards. Enable two-factor authentication immediately in Account Settings → Security; account takeovers through weak passwords are a leading cause of income loss for Etsy sellers.

Setup fee (re-verify before launch): Etsy charges a one-time, non-refundable setup fee for certain new shops, currently ranging from $15 to $29 depending on your region. The fee appears during the setup flow. Etsy may waive it during promotional periods at their discretion.

Design tool

You need a design tool to create original artwork. Two options dominate at this budget level. Canva Pro at approximately $15/month (re-verify before launch) gives you background remover, brand kit, premium elements, and PNG export with transparency — most Etsy POD tutorials are built around Canva's interface. Kittl Pro at approximately $15/month (re-verify before launch) is purpose-built for POD graphic design with vintage, retro, and typographic effects that are genuinely difficult to replicate in Canva; if your niche is apparel with illustrated or typographic designs, Kittl's output reduces production time significantly. Start with the free tier of whichever you choose. Upgrade only after your first 10 listings are live and validating demand. Design workflow detail lives in Spoke 2; this section covers the tool for stack-budgeting purposes.

Mockup tool

Printify, Printful, and Gelato all generate free flat-lay mockups when you publish a product. Those are sufficient to start. Placeit at approximately $14.95/month (re-verify before launch) adds lifestyle mockup photos — a person wearing the shirt, a mug on a desk — that often improve listing conversion rates compared to flat-lay renders alone. Add Placeit once sales justify the subscription. Full mockup workflow lives in Spoke 4.

Pinterest business account

Create a free Pinterest Business account at business.pinterest.com. Claim your Etsy shop under Pinterest Settings → Claim, and enable Rich Pins. Once claimed, products you pin from your shop surface automatically with price, title, and availability pulled from your listing. Pinterest drives evergreen, long-tail organic traffic to Etsy listings — it is the highest-ROI free traffic channel for POD sellers in lifestyle and gifting niches. Full traffic strategy lives in Spoke 6.

Email tool

Set up a free email list before your first traffic push so you can capture early visitors. ConvertKit (now Kit) offers a free tier up to 1,000 subscribers; Mailchimp Free covers up to 500 contacts. Neither is critical in the first 30 days but becomes valuable once you have a product catalog worth promoting. Full email strategy lives in Spoke 6.

Day-one cash

The minimum viable stack requires $15–$29 (Etsy setup fee, re-verify) plus $1.00 in listing fees for your first five listings. Everything else in the stack — Printify, Printful, Gelato, Canva Free, Pinterest, ConvertKit Free — costs $0 to start. Do not pay for any premium subscription until you have consistent orders that make the discount math work.

Which POD niche to enter, and what design categories show demand, is covered in Spoke 1 (niche research). This spoke picks up after the niche decision is made and you are wiring the accounts together.

Choose your POD partner: Printify vs Printful vs Gelato

All three platforms offer a free tier and a paid tier. Choose one primary partner to start — adding a second is straightforward later. The right choice depends on whether you prioritize base cost, quality consistency, or international delivery speed.

Fact check

Printify Premium pricing increased from $29/month to $39/month on February 17, 2026. The annual plan remains $24.99/month billed as $299/year. Printful Growth is $24.99/month with a 14-day free trial, and becomes free for a full year once your shop reaches $12,000 in annual sales. All plan prices should be re-verified at each platform before launch — POD subscription tiers change without advance notice.

All base costs re-verify before launch — POD catalog pricing updates frequently and varies by print provider and fulfillment location.

Which to choose for a US-first Etsy side hustle

Printify's print-provider marketplace

Printify's defining characteristic — and its main operational risk — is that it is a marketplace of 100+ independent print providers. You choose which provider fulfills each product. Popular US providers include Monster Digital (strong for DTG on dark garments), Swiftpod (competitive pricing on Bella+Canvas), and Drive Fulfillment (often lowest base costs on select SKUs). Quality consistency varies between providers — a seller who switches providers mid-listing may see visible differences in color saturation, hand feel, or sizing. Vet any provider with a sample order before scaling traffic to that listing.

Packaging and white-label status

Both Printify and Printful operate as white-label services. The outer packaging and shipping label show your shop name and registered return address — not the print provider's name. Printful explicitly states no Printful branding appears on or inside packages. Printify notes that a small number of its print providers do not support custom shipping labels; those packages may display "Fulfillment Center" rather than your shop name. Custom neck labels are available on select apparel providers for an additional cost (re-verify availability and pricing with your specific provider before listing). Orders fulfilled through Printful's partner facilities (not its owned facilities) may not support custom packing slips. Test with a sample order before driving traffic to any listing.

Connect your POD partner to Etsy and manage the sync

The connection between your POD platform and Etsy is what makes the order flow hands-off. Set it up correctly once, and every incoming Etsy order routes to your print provider automatically — no manual intervention required unless you have enabled manual order approval in your POD settings.

The integration setup

Printify → Etsy: In Printify, go to My Stores → Add a new store → Select Etsy → Connect to Etsy. You will be redirected to Etsy's authorization page. Enter your Etsy credentials and click "Grant access." Your Etsy shop is now connected. Products published from Printify push directly as listing drafts to your Etsy Shop Manager.

Printful → Etsy: In the Printful Dashboard, go to Stores → Choose platform → Select Etsy → Connect to Etsy. Click "Allow access" on the Etsy confirmation page. Then, separately, add Printful as a production partner in Etsy Shop Manager (Settings → Partners you work with). The integration connection and the production-partner disclosure are two separate steps — do both.

Gelato → Etsy: In Gelato, navigate to Stores → Connect a store → Etsy, and authorize via OAuth. The connection routes orders the same way as Printify and Printful.

Connecting any of these platforms to Etsy is free. The OAuth token is what routes each order to production automatically.

The auto-publish flow

  1. Upload your original artwork (PNG with transparent background, 300 DPI recommended) in the platform's product creator.
  2. Choose your blank product (for example, Bella+Canvas 3001 in Printify's catalog).
  3. If using Printify, select your preferred print provider and preview the per-unit cost at each provider.
  4. Select which sizes and colors to offer. Each size × color combination becomes a SKU.
  5. Enter your retail price. The platform shows a real-time profit margin estimate after fees.
  6. Click "Publish to Etsy." The platform generates mockup images, pushes the listing as a draft to your Etsy Shop Manager, and syncs all variant SKUs.
  7. In Etsy Shop Manager → Listings, find the draft. Edit the title and description (the auto-filled copy is generic and will not rank), add your production partner, verify the shipping profile, add tags, set processing time, and publish.
Critical: use fixed-price shipping only

Printify's Etsy integration does not support calculated shipping profiles. If you set Etsy to calculate shipping, the publish will fail — often with no clear error message. Create a fixed-price shipping profile in Etsy before connecting Printify and select it during the publish flow.

SKU and variant discipline — where most new sellers make costly errors

Printify and Printful maintain a one-to-one SKU mapping for every size × color variant. Etsy and your POD partner communicate via these codes to route each order to the correct product variant at the correct provider.

The full order flow after connection

  1. Buyer places order and pays on Etsy.
  2. Etsy deducts its fees and records the sale.
  3. Your POD partner's API detects the new order (usually within minutes).
  4. POD partner charges your saved payment method for the base cost of the product plus shipping.
  5. POD partner produces the item (DTG printing, embroidery, sublimation) per your design files.
  6. POD partner ships directly to the buyer. The return address on the label is your registered shop address.
  7. POD partner uploads tracking to Etsy, which forwards it to the buyer automatically.

Even though your POD partner handles production and shipping, Etsy holds you — the seller — accountable for the buyer's full experience, including quality, shipping time, and resolution of defects or lost packages. Post-sale resolution lives in Spoke 7; this spoke owns only the plumbing.

The Etsy production-partner disclosure — required, not optional

Etsy's Creativity Standards (updated June 10, 2025) and its production partner policy require every seller whose items are physically produced by a third party to disclose that partner on every applicable listing. POD services — including Printify, Printful, Gelato, and Gooten — are explicitly recognized as qualifying production partners. This is not optional. Skipping the disclosure on any applicable listing is a policy violation.

Required

Failure to disclose your production partner can result in individual listing removal, account suspension, or permanent suspension for repeated or egregious violations. Etsy's enforcement pattern as of 2026 typically begins with a warning and a 48-hour deadline to fix non-compliant listings. There is no workaround — every POD listing must have the production partner field populated (re-verify current enforcement details before launch).

How to add a production partner

Step 1 — Through Shop Manager Settings (do this before creating any listings):

  1. In Etsy, go to Shop Manager → Settings → Partners you work with.
  2. Click "Add a new production partner."
  3. Fill out the form:
    • Production partner name: Enter the legal name (e.g., "Printify Inc." or "Printful Inc."). You may keep this private from buyers by entering a public title instead.
    • Public title (if keeping name private): A descriptor such as "Print-on-demand fulfillment partner" or "Apparel printer."
    • Location: Enter the city and state or country of the partner's primary facility. For Printify, you may list your primary US print provider's location. For Printful, Charlotte, NC is their primary US facility (re-verify current facilities).
    • About production partner: A sentence describing the partnership, for example: "I design all products. This partner prints and ships each item to order using my approved artwork."
  4. Click Save partner.

Step 2 — Assign the partner to every applicable listing: In the listing editor, scroll to "About this listing" → "Who made it" → Select "Another company or person" → Choose your saved production partner from the dropdown. Both "Who made it" and "What is it" (set to "A finished product") must be correct on every POD listing.

Bulk assignment: In Shop Manager → Listings, check multiple listings → Editing options → Change production partners → Select your partner → Apply. Use this if you have existing listings that need the disclosure added retroactively.

The "Designed by a seller" category — post-June 2025 rules

Since Etsy's Creativity Standards update on June 10, 2025, POD products must be categorized as "Designed by a seller" — not "Handmade by a seller." The distinction:

POD itself is 100% legal and permitted on Etsy. The risk is not the production method — it is misrepresenting the origin of the design or failing to disclose the production partner. If you use purchased design elements as starting points, substantially transform them: change colors, combine with original typography, add unique graphic elements. Document your design process with saved project files in case Etsy requests evidence of authorship.

Shop policies tuned for physical POD

Getting your policies wrong is one of the fastest ways to lose disputes. Etsy refers to your published policies verbatim when resolving buyer cases. The policies for POD differ from digital goods — you are dealing with physical production timelines, carrier-level shipping variables, and a no-returns model that must be explicitly declared.

Processing time

Set your processing time in Shop Manager → Settings → Shipping settings → Add/edit shipping profile → Processing time dropdown. Realistic processing times for DTG on a major POD platform run 2 to 5 business days for production alone, before any carrier transit begins.

Set your Etsy processing time to 3 to 7 business days. This covers most providers reliably. Do not set 1 to 2 business days unless your specific provider has documented that turnaround consistently — overpromising processing time is a frequent driver of negative reviews and late-order disputes. The processing time field tells buyers when the item will ship, not when it will arrive. State both windows clearly in the listing description: "Processing: 3–7 business days. Shipping: 5–10 business days after dispatch."

Returns and exchanges

POD products cannot be accepted as returns in the traditional sense — once a custom item is printed, it cannot be restocked or resold. The defensible POD return policy, stated explicitly in your Policies section:

"Because each item is made to order, we do not accept returns or exchanges for sizing preferences or change of mind. If your item arrives defective, damaged, or misprinted, contact us within 14 days of delivery with photos and we will reprint or refund."

If you publish no return policy at all, Etsy defaults to its standard 30-day return policy in dispute resolutions, and you will lose most size-error cases. The policy must be explicit.

For defects, damage, and misprintion: your POD partner (Printify, Printful, Gelato) will typically reprint or refund when you submit a claim with photographic evidence within their claim window — typically 30 days of delivery (re-verify with your specific provider). Open the claim with your provider, then reship to the buyer at no charge. Do not ask the buyer to return the defective item.

Cancellation policy

POD orders enter production within minutes of purchase. State that cancellations must be requested within 2 hours of ordering. After production begins, cancellation is not possible.

Lost-package process

State in your policies that you will work with the carrier to investigate and will replace or refund confirmed-lost packages after 14 business days past the estimated delivery date. When a buyer reports non-delivery: confirm the tracking status first; if the carrier shows "delivered," respond with the tracking link and suggest checking with neighbors or a building office; if tracking shows in-transit past the estimated window by more than 48 hours, open a claim with both the carrier and your POD provider. Etsy's Purchase Protection Program covers orders up to a specified threshold if you shipped on time with valid tracking — re-verify current terms and coverage limits before relying on this. Full post-sale resolution workflow lives in Spoke 7.

Shipping profiles

Use realistic carrier estimates for your provider's US fulfillment locations. Standard shipping (USPS Ground Advantage or equivalent) typically runs 5 to 10 business days after dispatch; expedited (Priority or Express) runs 2 to 3 business days after dispatch. Build shipping cost into the product price and offer free shipping if your margin supports it — Etsy's search algorithm has historically favored free-shipping listings (re-verify current ranking signal weight before launch). If you sell multiple product categories — apparel and hard goods like mugs — create at least two shipping profiles, because the carrier rates differ meaningfully.

Shop branding — complete it before the first listing indexes

Etsy's algorithm factors in profile completeness for search ranking. Shops without an About section, shop icon, or banner are at a disadvantage in browse-based discovery compared to complete shops at equal keyword competition. Complete all branding assets before submitting your first listing for indexing — it takes less than two hours and the SEO payoff is immediate.

Completeness signals

Etsy's algorithm rewards completed shop profiles. A shop with a missing About section and no banner is effectively invisible to browse-based discovery at equal keyword competition. Complete every section before your first listing goes live — this is not cosmetic, it is infrastructure.

Shop name

Your shop name is 4 to 20 characters, no spaces, no special characters, and must not already be taken on Etsy. Niche-anchored names outperform generic ones for brand recall and indirect SEO — a name that mirrors your niche category compounds with your listing keywords. Examples of the pattern: "RetroNurseTees," "GoldenMomCo," "CabinLifePrints." Before committing, search the USPTO trademark database at uspto.gov — a name that mirrors a registered trademark can get your shop closed regardless of how many sales you have accumulated.

Branding assets

Baseline business and tax registration

This section covers orientation-level setup. Full tax detail, deductible expenses, and quarterly estimated tax guidance live in Spoke 8. The goal here is to make sure the legal and financial baseline is in place before revenue starts arriving.

Business structure

Sole proprietor (default, no action required): Operating under your own Social Security Number is legal for POD Etsy sales. It provides no liability protection but requires zero upfront cost and minimal compliance overhead. Most new POD sellers operate as sole proprietors through significant annual revenue before forming an entity makes sense.

DBA (doing business as): If you operate under a brand name rather than your legal name, file a fictitious name registration with your county or state. Costs $10 to $100 depending on jurisdiction.

LLC: Provides personal liability protection and separates business finances. Recommended once you reach consistent revenue or before you invest significantly in advertising, design assets, or tools. State filing fees vary (re-verify with your Secretary of State before making this decision — fees change annually).

EIN (Employer Identification Number): Free from irs.gov. Required if you form an LLC or hire anyone. Also useful to keep your Social Security Number off vendor documents and tax forms. Takes 5 to 10 minutes to obtain online.

Sales tax

Etsy acts as a marketplace facilitator and collects and remits state sales tax on your behalf in the states where marketplace facilitator laws apply — which now covers the vast majority of US states. You do not need to separately collect or remit sales tax on Etsy-generated sales in those states. If you have physical nexus in a state, you may still need to file a sales tax return in that state and report that the sales were made through Etsy (but not remit, since Etsy already did). Re-verify your specific state's rules with a tax professional before launch — state laws change and Etsy's coverage list is updated periodically. Five states have no sales tax: Delaware, Montana, New Hampshire, Oregon, and Alaska.

You likely still need a seller's permit on file in your home state even if Etsy collects on your behalf. Check your state's department of revenue.

Federal income tax

Report POD income on Schedule C of your personal return. Deductible expenses include POD base costs, Etsy fees, subscription tools, mockup tools, Pinterest ads, and a portion of home office costs if applicable. If you expect to owe more than $1,000 in federal tax for the year, pay quarterly estimated taxes (due mid-April, mid-June, mid-September, mid-January). The IRS Safe Harbor rule: pay 100% of last year's total tax liability across four equal installments and you avoid underpayment penalties regardless of final tax owed. Full deduction list and quarterly tax guidance live in Spoke 8.

The 30-day shop setup process — five action steps

These five steps represent the minimum viable shop setup sequence. Do them in order — each step depends on the one before it being complete. Spoke 4 covers listings in detail after this foundation is in place.

  1. Open your Etsy seller account and complete all setup fields. Go to etsy.com and click "Sell on Etsy." Enter your shop name (4 to 20 characters, alphanumeric, unique — check availability in the setup flow). Complete all branding fields: shop icon (500 × 500 px), banner (1,600 × 400 px or 3,360 × 840 px), About section (150 to 300 words, include a photo). Set up Etsy Payments by linking your US bank account. Enable two-factor authentication. Pay the one-time setup fee of $15 to $29 if prompted (re-verify; non-refundable). Set your shop's processing time to 3 to 7 business days in Shipping Settings before publishing any listing.
  2. Create your POD platform account and connect it to Etsy. Sign up for free at printify.com, printful.com, or gelato.com. Add a payment method (credit or debit card). In your POD platform, navigate to the store connection section — My Stores on Printify, Stores on Printful or Gelato — and authorize the OAuth integration with your Etsy account. Separately, in Etsy Shop Manager → Settings → Partners you work with, add your POD provider as a production partner with name, location, and a one-sentence description of their role. This step must happen before publishing any listings.
  3. Create your first product and publish it to Etsy. In your POD platform's product creator, upload your original design (300 DPI PNG with transparent background). Select your blank product — for example, Bella+Canvas 3001 for apparel or an 11oz ceramic mug for home goods. If using Printify, select your preferred US-based print provider and review the per-unit base cost. Configure all variants (sizes and colors). Enter your retail price. Click "Publish to Etsy." Use a fixed-price shipping profile. The listing arrives as a draft in your Etsy Shop Manager.
  4. Complete the Etsy listing before making it live. Open the draft listing in Etsy. Set "Who made it" → "Another company or person." Set "What is it" → "A finished product." Select your production partner from the dropdown. Replace the auto-filled title and description with original keyword-informed copy (full SEO guidance in Spoke 4). Add all 13 listing tags. Select the correct Etsy category and subcategory. Review processing time. Click Publish. Your $0.20 listing fee is charged at publish.
  5. Place a sample order and verify the full order flow. Both Printify and Printful offer discounted sample orders at 20 to 25% off. Order one unit of your first product and ship it to yourself. Verify: the return address label shows your shop name, not the print provider's name; the print quality matches what you showed in mockups; the garment sizing is consistent with the size chart on your listing; no provider branding is visible on the package or inside the item. If the sample passes, you have a validated product ready to promote. If not, switch print providers on Printify or contact Printful support before driving traffic to the listing.

Once your shop is open, the production-partner disclosure is in place, your policies are published, and your first sample order has passed inspection, move to Spoke 4: Listings — where keyword research, title structure, tags, mockup stack, and listing description are covered in operator-grade detail.

Frequently asked questions

Is print-on-demand allowed on Etsy in 2026?

Yes. Etsy explicitly permits print-on-demand under its production partner policy. POD platforms including Printify, Printful, and Gelato are recognized by Etsy as qualifying production partner types. The requirement is transparency: you must disclose your POD partner on every applicable listing, and the design must be your original creation. Using a POD partner to produce and ship your original designs is fully compliant. Dropshipping pre-manufactured items with no original design, or mis-categorizing a POD item as Handmade by a seller, is not compliant.

What does Etsy production-partner disclosure actually require?

Etsy requires you to add your POD platform as a production partner in Shop Manager under Settings, then assign that partner to every listing the platform fulfills. You enter the company name, location, and a brief description of their role. On each listing, set Who made it to Another company or person and select your saved production partner. This information is buyer-visible in your shop's About section. Skipping this step on any applicable listing is a policy violation that can result in listing removal or account suspension (re-verify enforcement details before launch).

What is the difference between Designed by a seller and Handmade by a seller on Etsy?

Since Etsy's Creativity Standards update on June 10, 2025, POD products must be categorized as Designed by a seller, not Handmade by a seller. Designed by a seller means you created the original artwork and a production partner physically makes and ships the item. Handmade by a seller means you personally made the physical product. Mis-categorizing a POD item as handmade is a policy violation under the updated standards, even if you designed the artwork.

Should I start with Printify, Printful, or Gelato?

For a US-first Etsy shop focused on apparel at the lowest possible base cost, start with Printify Free — it has the widest catalog and the lowest base costs among the three, especially once you identify a strong print provider. For quality consistency without provider-selection research, Printful Free removes the guesswork because production is in-house. For sellers expecting significant international orders from day one, Gelato's local-fulfillment model in 32 countries reduces delivery time to international buyers. All three platforms offer free tiers; do not pay for a premium subscription until you have consistent monthly orders that make the discount math work.

How do I connect Printify or Printful to my Etsy shop?

Create your free account on the POD platform, then navigate to the store management section — My Stores on Printify or Stores on Printful — and select Connect to Etsy. You will be redirected to an Etsy authorization page where you grant the platform access to manage listings and receive orders. This OAuth connection is what routes every incoming Etsy order to your print provider automatically. Separately, you must add the POD platform as a production partner in Etsy Shop Manager under Settings before publishing any listings.

What are the most common SKU and variant mistakes when linking POD to Etsy?

The most common mistake is deleting a size or color variant in Etsy without first removing it in the POD platform. This breaks the SKU mapping — if a buyer orders that variant through a cached link, the order cannot route to production. Always remove variants in your POD platform dashboard first, confirm the sync updated Etsy, then archive the listing variant in Etsy if needed. A second common mistake is manually changing the retail price in Etsy's editor without updating it in the POD platform — the next sync from the POD side can overwrite your Etsy price back to the platform-set value. Manage prices from the POD dashboard for consistency.

What processing time should I set on Etsy for POD items?

Set your Etsy processing time to 3 to 7 business days. DTG printing at most POD providers takes 2 to 5 business days for production alone, before carrier transit begins. Setting 1 to 2 business days means almost every order ships outside your stated window, which generates late-shipment complaints and negative reviews. The processing time field tells buyers when the item will ship, not when it will arrive — state both windows clearly in the listing description. After 90 days of consistent provider performance data, you can evaluate whether a tighter window is defensible.

Do I need an LLC to start selling on Etsy with print-on-demand?

No. You can operate legally as a sole proprietor using your Social Security Number. An LLC provides personal liability protection and cleaner business and personal finance separation, but it is not a prerequisite for opening or running an Etsy shop. Many sellers operate profitably as sole proprietors through significant annual revenue. Consider forming an LLC once you have consistent income, are investing in advertising, or want the liability separation. State LLC filing fees vary and should be re-verified with your Secretary of State before making that decision.
