STEP 02

When a buyer's payment clears on a digital listing, Etsy automatically makes the file available in their account under Purchases & Reviews. No action is required from you. The buyer receives an email with a download link, and access remains in their account indefinitely.
What to include in every digital bundle
The download itself is the minimum. A well-assembled digital bundle increases perceived value and pre-empts support requests that would otherwise pull you into slow message threads:
- The design files — named clearly, e.g.,

Handling "it won't open" before it becomes a message
PDF won't open on mobile: the buyer needs the free Adobe Acrobat Reader app (iOS and Android), not the phone's default file viewer, which often can't handle multi-page PDFs. ZIP files require an extraction app on mobile — Files app on iOS 13+, WinRAR or 7-Zip on Android and PC. Etsy's download works best on desktop browsers; instruct buyers who report issues to download to a computer first and check the Downloads folder.
The no-refund stance on digital items
Etsy disables the returns toggle on digital listings and informs buyers that the item cannot be returned. Sellers can resolve issues as they see fit. Standard operating rule: if the file was downloaded, decline the refund politely and offer technical support. STEP 03
POD fulfillment: disable auto-fulfillment, prove every order, then approve

If POD auto-fulfillment is enabled on a personalized Printify listing, the print provider receives and ships the placeholder design before you apply the buyer's name or photo. The buyer gets a product with placeholder text or a blank field. This is an unrecoverable error that costs you a full reprint. Disable auto-fulfillment on every personalized POD listing before your first sale.
Printify's two personalization modes
Printify's Automated Personalization is text-only (names, dates, coordinates, short phrases). The buyer types directly into the listing's personalization field; the system auto-applies the text to the design layer. Every order is held with a "Review needed" label in your dashboard before going to production — this is the safest path for text-only SKUs like coordinate signs or family name prints.
Manual Personalization supports both text and images and is required for photo-based custom work — family portrait canvases, pet photo pillows. The workflow: buyer sends the photo (or you collect it at checkout), you download it, replace the placeholder in Canva or your design file, upload the corrected print file to Printify, then approve the order. US domestic end-to-end (production + transit): 5–10 business days is the reliable median for both partners. Peak season (late October through early January) typically adds 2–5 business days. Printify Express Delivery is available for select US products and regions, combining production and transit for a 2–3 business day total. Check whether your specific SKU is eligible in the Printify catalog before promising expedited delivery to a buyer — standard production cannot be rushed.

Insurance Rule
Any item with a retail value over $50 should be insured. USPS Priority Mail includes $100 coverage automatically at no additional charge. Add declared value insurance for items over $100. STEP 05

All personalization proof communication must stay inside Etsy Messages. Not texts. Not Instagram DMs. Not email. Etsy's dispute resolution system can only reference in-platform message history. STEP 07
Custom-order no-return policy: three locations and one exception

The One Exception
The no-return policy applies to all personalized orders except manufacturing or printing defects, wrong items shipped, or carrier damage that renders the item unusable. In those cases, the seller or partner absorbs the cost. The buyer pays nothing additional and receives a replacement or refund.
